D) Treasurers Report

The three major areas in which are greatly contributing to the profit loss within our company include the money being spent for purchases, phone bills and advertising. Within these three areas of the Track and field association, we are spending a total of $47, 000 which may be drastically decreased through the introduction of numerous economically friendly strategies. By placing these strategies in action, we will continue to run these aspects of the club but at a lower cost, thus, we will have more money to put towards more crucial aspects of the Track and Field association such as equipment and our overall profit statement will radically increase.

The purchases that the company makes is an unnecessary way to spend our money as it is not stated what is specifically involved in this area therefore, it may include paying the cost of irrelevant things such as employer’s lunches or any other personal costs. In order to decrease the cost of purchases from $12 000 to less than $5000 the employers could be forced to provide themselves with all their personal necessities required whilst in the Track and Field working environment so that there is no need to depend on the companies purchasing costs. If employers desperately need to use the companies purchasing costs or believe it is necessary, they will need to ask for consent from the treasurer and provide suitable reasoning for their request.

The phone bills for the Track and Field association are becoming unaffordable as the costs have reached as high as $10 000. This is possibly due to employers excessive use of the companies phone line for personal calls both local and internationally. In order to prevent such high expenses in this area, a payphone may be installed within the company so that both the public and the employers may use this phone for personal reasons. If the calls are work related, employers will be able to occupy the companies’ private phone line. Although, if a business call is to be made internationally, the employer must see the president of the Track and Field Association for his/her consent and the duration of the phone call must be longer than twenty minutes. After the twenty minutes is up, the amount of time in which the conversation continues will be taken out of that particular employers pay. By applying these rules to our working environment, it will greatly decrease the use of the companies phone bills as is will only be used for work related reasons therefore, the phone bills expenses will drop to an expected amount of less than half of the current amount.

The most unnecessary area of expenses within the company is going towards advertisement which has resulted in a total amount of $25 000. This figure has resulted from the use of televised, newspaper and magazine advertisements which have been unsuccessful due to the inappropriate timeslot the advertisement is placed into on television and the ineffective size and placement of the advertisement in magazines and newspapers. To decrease the amount of expenses for advertisements, the club’s employers and members could hand out flyers and pin up posters in their local communities which will encourage more individuals to join as they are exposed to information of our club more efficiently and frequently. As a form of recognition for the individuals who assist in the promotion of our club, they will receive a free McHappy meal from McDonald’s. Thus, this strategy is also benefiting our sponsor as it is providing them with more customer service. This strategy is also effective as it will also increase sales through increased membership.

Finally, a strategy which may be used in order to assist in the decrease of all areas of expenses may be by writing to a wealthy company in our local area such as Penrith Panthers or the Penrith City Council in order to ask for their generous donation and support in helping to rebuild the club. This is an efficient strategy as it is encouraging and providing a good example for a unified community. If the company agrees to offer their support, they will also benefit from their decision as the Track and Field Association will frequently acknowledge their generosity through their advertisements and public statements.
